Cancellation Letter Template for Subscriptions & Memberships

A cancellation letter does not need to sound like it came from a lawyer. It needs to make the request impossible to misunderstand.

A good letter says:

who you are;
which account you are cancelling;
what you want cancelled;
when you want the cancellation to take effect;
whether you are also revoking automatic payments;
where the company should send confirmation.

Then you keep a copy.

That is it.

The mistake people make is trying to sound formal while leaving out the details the company actually needs. A three-paragraph letter with the account number and requested end date is usually more useful than a page of “hereby,” “aforementioned” and “pursuant to.”

Here is a general version you can copy.

Basic subscription cancellation letter template

Subject: Cancellation request for [service or membership] — account [last four digits or account number]

For a simple subscription, you often do not need more than that.

But before you send it, check one thing: does the company actually accept cancellation by email or mail?

A letter is useful only if it goes through a cancellation route the company recognizes. Some services cancel online. Some gyms require a letter or in-person request. Some providers need a specific address, account PIN or service location. Some subscriptions are billed by Apple or Google and should be cancelled through those platforms instead.

What a cancellation letter should include

You do not need every item below for every company. Include what helps the company identify the account and carry out the request without another round of emails.

The date

Use an exact date at the top of the letter.

If timing later becomes an issue, you want to be able to show when you sent the request.

Your name as it appears on the account

If the account is under “Robert J. Smith,” do not sign only “Bob.” Make it easy for the company to match your request.

The account identifier

That could be:

membership number;
account number;
account email;
phone number;
service address;
customer ID.

For security, avoid putting unnecessary sensitive information in a normal email. You rarely need to send a full payment-card number. If a company legitimately needs extra verification, use its secure process.

A direct cancellation sentence

Do not write, “I would like information about closing my account.”

Write:

I am cancelling my membership.

Please cancel my service effective September 30, 2026.

There should be no question whether you are asking for prices, considering cancellation or actually cancelling.

The requested effective date

This is especially useful for gyms, utilities, telecom, storage, home security and other services where the end date can affect billing.

If the contract controls the effective date, you can write:

That is better than inventing a date the contract may not allow.

A request for written confirmation

Ask the company to confirm:

that the cancellation was processed;
the effective date;
the final billing date;
any remaining balance;
any return requirement.

This closes the loop.

Email cancellation template

For companies that accept cancellation by email, keep it short.

Subject: Cancel my membership — account 123456

Attach nothing unless it is needed. If the company requires a form or proof, follow its instructions rather than emailing sensitive documents unnecessarily.

Gym membership cancellation letter template

Gym cancellations deserve their own version because timing and contract terms often matter.

Subject: Membership cancellation — [member name / member number]

Do not copy a random gym letter from the internet and assume it satisfies your contract.

Check the actual company page first. Planet Fitness, LA Fitness and Anytime Fitness, for example, can have different procedures, notice requirements and club-level details.

Contract or service cancellation letter template

Use this for a service with a contract, notice period or possible final balance.

Subject: Notice of service cancellation — account [number]

This version is useful for internet, cable, home security, storage and similar services because it asks the company to deal with the work after cancellation, not just the request itself.

For example, the Xfinity cancellation guide may involve service termination plus equipment and final-bill issues. A streaming cancellation normally does not.

Cancellation letter that also revokes automatic bank debits

If a company is pulling recurring payments directly from your bank account, you may want the letter to address both the service and payment authorization.

Use separate sentences so there is no ambiguity.

The Consumer Financial Protection Bureau says consumers can revoke authorization for automatic payments from a bank account and notify their bank or credit union. CFPB guidance.

This does not mean you can erase a legitimate final balance by revoking payment authority. If money is still properly owed under the agreement, ask the company for the final amount and another way to pay it.

Free-trial cancellation email

A free trial usually does not need a mailed letter, but a short written record can help when support is involved.

If there is an online cancel button, use it first. Then save the confirmation. An email to support is not necessarily a substitute for completing the required cancellation controls.

Follow-up letter when the company has not confirmed the cancellation

If several days have passed and the company has not responded, do not send a completely new story. Forward or reference the first request.

If a renewal date is close, do not simply wait for email. Use the company's other accepted cancellation or support route and document that attempt as well.

Letter for a charge that appeared after cancellation

Once a post-cancellation charge appears, your message should be about the timeline and the money.

Subject: Charge after confirmed cancellation — account 123456

That is enough. Give support the evidence before adding arguments.

If the company does not fix a potential billing error, contact your payment provider promptly. The FTC advises consumers to keep cancellation records and dispute charges that continue after a company was told to cancel. FTC subscription guidance.

Should you send a cancellation letter by certified mail?

Only when mail is an accepted or required cancellation route and proof of mailing or delivery is worth having.

For a $12 streaming subscription with a working online button, mailing a certified letter is overkill.

For a contract where the company tells you to send written notice to a specific address, proof can be much more useful.

The important point is not “always use certified mail.” It is:

If the contract requires a written notice, be able to prove that you sent the required notice to the required place on time.

Email vs. certified mail vs. online cancellation

Use the method the company accepts.

Online cancellation

Usually best when available because it can produce an immediate status or end date.

Take a screenshot before leaving the page.

Email

Useful when the company accepts email cancellations or you need written follow-up with support.

Keep the sent message and response.

Mail

Useful when the agreement requires written notice or the company's verified process specifically uses mail.

Keep a copy of the letter plus mailing and delivery proof.

Phone

If phone cancellation is required, write down the date, time, number called, representative's name and confirmation number. Then ask for written confirmation by email.

Your goal is not to choose the most formal channel. It is to choose the recognized channel with the best evidence.

Do not put these things in your cancellation letter

Your full credit-card number

Usually unnecessary and risky. Use the account number, membership number or last four digits if the company specifically uses them for identification.

A long explanation of why you are leaving

Unless the reason affects a contractual right or exception, the company does not need your life story to cancel an account.

Threats you do not intend to follow through on

“I will contact every regulator in America” does not make a normal cancellation faster.

A demand for a refund without explaining the charge

If you want money back, identify the exact amount and charge date.

Vague language

“I no longer need the service” is not as clear as “Please cancel account 123456.”

What if the company asks you to call after receiving the letter?

Check whether that additional step is part of the actual cancellation procedure.

If the company says your written notice is incomplete, ask exactly what is missing. Keep the answer.

If it tries to turn a valid cancellation request into a sales conversation, keep repeating the operational question:

What action is still required to complete the cancellation, and what will the effective date be?

You do not have to debate why you want to leave in order to understand what the company says remains to be done.

What proof should you keep?

Create one folder called something simple like:

Put in:

the contract or relevant cancellation terms;
your letter;
sent-email copy;
mailing receipt;
delivery confirmation;
support transcript;
cancellation confirmation;
screenshot of the account status;
final bill;
equipment-return receipt;
any refund confirmation.

You will probably never open that folder again. That is fine. Its value is that you can open it immediately if a new charge appears.

Make the letter fit the company's actual problem

A cancellation letter should change slightly based on what can go wrong.

Streaming service

Focus on future renewal and the expiration date.

Gym

Focus on notice date, home club, member number, effective date and any annual fee near the cutoff.

Internet or cable

Add service address, final billing date and equipment return.

Home security

Ask about contract end date, early termination amount, equipment and monitoring termination.

Storage

Ask when access ends, whether the unit must be empty by a particular date and what happens to the final month's rent.

Software subscription

Ask whether cancellation stops renewal or ends access immediately, and whether an annual commitment creates an early-termination charge.

A cancellation-letter checklist before you hit send

Read your letter once and make sure it answers these questions:

Is the company name correct?
Is this an accepted cancellation route?
Is my account clearly identified?
Did I plainly say I am cancelling?
Did I ask for the correct effective date?
Did I address auto-renewal?
Did I ask for written confirmation?
Did I ask about a final balance if one may exist?
Did I ask about equipment if relevant?
Did I keep a copy?
If timing matters, can I prove when it was sent or delivered?

If yes, send it.

Do not spend another 45 minutes rewriting the greeting.

Frequently asked questions

What should I write in a subscription cancellation letter?

Include your name, account identifier, a direct statement that you are cancelling, the requested effective date and a request for written confirmation. Add final-bill, equipment or automatic-payment language only when relevant.

Do I need to give a reason for cancelling?

Usually not for a normal voluntary cancellation, unless the reason matters under the contract or a special cancellation right. The company may ask why for feedback or retention purposes, but the operational request should remain clear.

Is email enough to cancel a membership?

Only if email is an accepted cancellation route for that company and account. Check the current company terms before assuming an email alone completes the cancellation.

Should I send a gym cancellation letter by certified mail?

If the gym's agreement or current cancellation process requires written notice by mail, using a method that gives you mailing or delivery evidence can be useful. Follow the actual gym's instructions and address.

Can a cancellation letter stop automatic payments from my bank?

You can tell the merchant that you revoke authorization for future automatic bank debits, but you should also follow your bank or credit union's process when needed. Cancelling payment authorization does not necessarily erase a valid balance under the service agreement.

What if the company never responds to my cancellation letter?

Use another accepted contact route, keep proof of your original request, and pay attention to the next billing date. If a charge appears after a valid cancellation and the company will not correct it, contact your payment provider promptly about dispute options.

Should I ask for a refund in the cancellation letter?
